Corporate Planning Checklist

1.Gather ideas, themes, and purpose for the event with the team involved in planning.

  • What is the team trying to accomplish?

  • How will benefit from the message?

  • How will this impact the business?

  • What would you like for the event to accomplish?

2.  Establish roles and responsibilities of the team 

3. Create a list of roles you will have assign to the project

Make a list of resources that you have in -house graphic designer, copywriter, content developer, security, tech, and AV needs, etc

4.  Location 

  • Plan a site visit 

  • Where will the event take place? Different city? Different country?

  • Search for options that are within your ideal budget and meet your brand’s standards.

  • Check capacity, access points, and additional amenities including.

5. Hire a production team to handle the necessary task 

6. Have a meeting with everyone involved in the project so that everyone is aware of roles?

7. Schedule weekly calls to get updates on the project

It is important to have everyone aligned. Having weekly meetings and calls will allow for that success. Assigned roles will also get the opportunity to discuss progress and what support they may need.

8. Have a design meeting.

  • Share ideas. Think outside of the box 

  • What color schemes would you like to explore?

  • What are slogans or ideas that will reach the audience?

  • What value does this add to the event?

9. Event Prep 

The month before the event have the team present a full presentation deck of every area of the events to make sure you have everything taken care of. During this time you also review protocols, and all tech needs during the event and gather contact information on who will be the main point of contact. 

10.Time to the Plan Event!!

How will you communicate throughout the event?

  • Who will be the point of contact on the ground?

  • If issues arise who will bee contacted

  • Who will handle final payments?
