Social Distancing for a Corporate Event

Trade-shows, Conferences, and other networking events have all been put on pause in many parts of the world. So, how do we cope with so much uncertainty? In many parts of the country people are planning events and showcasing ways to have a great event within distance but what does it really look like?

I will say that I don’t know every detail and method, but these will have minimal attendees, spacious venues with all the social distancing guidelines in effect. 


Outdoor events are the way to go because you are able to accommodate guests and also adapt your space and floor plans as needed. It would be ideal if you have an allotted time slot for guests to arrive. That way you can manage registration flow and the number of attendees. 

You should walk the path as a guest and ensure there are designated entrances and exits that adhere to social distancing regulations and allow safe foot traffic.

Place signs with directions: letting people know how the event is adhering to guidelines. You could even integrate a QR code to give the schedule, check-in capability, and any other important details they need to know. You can also create directional lanes for attendees so that the flow of traffic is smooth.

Check-in areas : can have thermal cameras to check temperatures to minimize human to human contact. 

Sanitation: Hand Sanitizer dispensers, wipes and hand washing areas should be installed. You can even add a personalized aspect by providing them their own kit of items to use throughout the event ( wipes, hand sanitizer, gloves, covid 19 guidelines as it applies to the event and extra masks with your custom branding).

Switch up the catering options: Grab and go meal options, plated meals ordered ahead are both great ways to make sure there is minimal traffic in the food and drink areas.

Virtual Events: We have seen some really incredible conferences held virtually! Exploring that option could be a great way to minimize traffic and also allow you to reach more people within your demographic. 

Hotels: If you are hosting an event at a hotel make sure that all staff adhering to all health and safety regulations around COVID. Gloves and extra masks should be easy to access for employees and vendors.

Guest Journey: It is important that everyone involved in the event feels comfortable the flow of the guest journey. This will help minimize traffic and put guests at ease. Having areas clearly marked will help guests identify where they need to go and to adhere to the minimum of six feet distancing for waiting areas, sessions, and everyday flow of traffic.
